Run a healthy provider portfolio all year, not just when an application, renewal, or problem lands in your inbox.

Provider stewardship is continuous. The coordinator’s job is partly regulatory, partly data stewardship, and partly relationship management. Good provider support reduces errors and improves participant access without lowering standards.

ETPL office hours model

Recommended format: 45 minutes monthly or during heavy ETPL windows. Start with a 10-minute update, then provider Q&A. Publish the rules: no participant PII, no promises of approval, and case-specific high-risk determinations may require follow-up after source verification.

This is not an eligibility score unless adopted policy lawfully says so. Use it to decide where technical assistance and monitoring attention are needed.

When to shift from service to oversight

Shift gears when: provider errors become repetitive, public/system information materially conflicts, required reporting is missed, operating authority changes, participants may be harmed, or evidence suggests intentional misrepresentation. Technical assistance should not become an excuse to ignore a consequential compliance issue.
