Your First 30 Days as an ETPL Coordinator

Days 1–3
Find the people, rules, and boundaries
- Identify the Local Board ETPL lead, backup, CalJOBS administrator, and State contacts. Confirm assigned review, nomination, correction, and escalation roles.
- Read the current California ETPL directive, federal guidance, CalJOBS instructions, and adopted local policy. Bookmark where updated instructions appear.
- Explain why provider eligibility, program eligibility, State determination, local policy, and participant training approval are different decisions.

Week 1
Route requests before acting
- Use the 60-Second Decision Center to classify fictional or redacted provider, program, renewal, reporting, RAP, reciprocity, or compliance requests.
- For three sample requests, identify the governing source, missing evidence, owner, deadline, and next safe action.
- Draft a provider correction email that requests missing information without promising approval.

Week 2
Work a routine review with supervision
- Shadow a provider review and a separate program review using authorized records or fictional examples.
- Use the checklist to verify operating authority, location, credential, program cost, occupation, and the applicable performance pathway against the current rules.
- Walk through CalJOBS Guided Mode. Do not edit live records without assigned permissions and supervisor authorization.

Week 3
Understand reporting and the annual cycle
- Review the Current ETPL Desk and verify actual reporting deadlines, State notices, and pending provider changes.
- Practice tracing a fictional ETP reporting error and continued-eligibility issue to the right source and responsible party.
- Draft a 90-day owner-and-deadline tracker for your local area, then have the lead verify it.

Week 4
Show sound judgment and plan a handoff
- Explain the next steps for routine cases using the current controlling source and the evidence in the file.
- Use the Case Lab to rehearse when to stop for RAPs, reciprocity, removal, appeals, suspected fraud, and ambiguous authority.
- With your manager, document which routine tasks are delegated, which require sign-off, and how backup coverage works.

Before handing over routine work
